Registration
How do I register for UGM 24?
Click on the “Register” link. Complete all of the required fields. You will receive a registration confirmation via email once you submit your completed registration. If you have questions, contact us at ugm@nextgen.com.

I’m trying to register, but the system is showing that the email address is not valid. What should I do?
To register, each attendee must use their own email address. All attendees must be clients of NextGen Healthcare, and their email address must be registered in our system. If you cannot successfully register, send an email to ugm@nextgen.com with your full name, company name, and email address. You will receive an email alert once you are granted access to the system.

Where can I find my registration confirmation number?
Your registration confirmation number will be in your registration confirmation email that you will automatically receive once you complete the online registration process. If you are having difficulty locating your registration confirmation number, contact us at ugm@nextgen.com.

I registered, but I did not receive a confirmation email. How can I request one?
Send an email with your name and organization name to ugm@nextgen.com stating that you have not received your confirmation. Be sure you have added ugm@nextgen.com to your safe senders list.



Registration Payments and Fees
What is the cost to attend UGM 24?
$999; early bird rate available through July 31

$1199; standard rate available through September 30

$1399; late rate available through October 27

 

What does it mean if I received a “Failure of Payment” error message?

The credit card provided for registration payment was not processed due to an error, an incorrect billing address, expired card or security reasons. To correct this error, contact your credit card company first, and then contact a NextGen UGM team member at ugm@nextgen.com and they will reach out via phone so you can provide your updated credit card information.

Can I pay by check for the registration fee?

Yes. When registering, select the "check" payment option and an invoice will be sent to you via email.

Your check payment is due within 30 days of your registration date. If the check payment is not received within 30 days, your registration is subject to cancellation.

After September 30, 2024, we will no longer accept checks and will require a credit card to complete online registration after this date. Please note there is a 4.5% administrative fee when paying with a credit card.

Whom should I make my check payable to for registration and where should I mail it?

Include the full name of the registrant, name of the meeting (UGM 24), and confirmation number on the check as a reference.

Is there a discount for registering more than one person from a practice?

No, we don’t offer group discounts.

I work for a CHC/FQHC. Are there any discounts available?

Yes – please reach out to ugm@nextgen.com.

I cannot attend UGM 24; however, someone else from my organization will be going in my place. How do I make a name change to my registration?

All name changes must be sent in writing to ugm@nextgen.com and will be transferred free of charge. You will also need to contact Gaylord Opryland separately to change the name on the hotel reservation.

How do I cancel my registration?

Visit the registration site and enter your registration confirmation number. You may cancel your reservation from there. You will also need to contact Rosen Shingle Creek separately to cancel your hotel reservation.

Is there a cancellation fee?

Full refunds will be available until September 30, 2024. Refunds will not be available after September 30th due to contracts and hotel guarantees.

Guest Event Tickets

How do I secure my ticket(s) to the Nashville Nights Downtown Client Event on Tuesday?

Complete all of the required fields within your UGM 24 registration. You will be given the opportunity to purchase additional welcome reception tickets for $49 and client event guest tickets for $99. You will receive a registration confirmation via email once you submit your completed registration. Guests must be at least 21 years of age in order to attend the welcome reception and client event. If you have questions, contact us at ugm@nextgen.com.

Where can I pick up my tickets for the welcome reception and Client Event?

You may pick it up along with your badge and meeting materials when checking in at the UGM 24 attendee services desk. If you have questions, contact us at ugm@nextgen.com.

Is there an age limit to guests for the welcome reception and Client Event?

Guests must be at least 21 years of age in order to attend the welcome reception and Client Event.

Agenda

Where can I find the agenda?

The breakout session listing will be available later this summer!

 

Do I need to register for sessions to guarantee a seat?

All session attendees must pre-register to have access to the session onsite. Attendees will scan to enter each session onsite. Those who did not pre-register; will be allowed to attend the session based on a first-come-first-serve basis after those who pre-registered have all scanned in.

I’m already registered for UGM 24 but would like to add breakout sessions and/or an additional pre-conference workshop. How do I do that?

Once the agenda is live, you will receive an email containing the link for session registration. If you have questions, contact us at ugm@nextgen.com.

How can I change my selected breakout session to another?

Once the agenda is live, log into your registration using your registration confirmation number, and click on “modify registration.” From there, you can remove the original session from your agenda and add the new session to your agenda.

When will pre-conference workshops take place?

Pre-conference workshops will take place on Sunday, October 27.

Is there an additional fee for pre-conference workshops?

$299 – Full day pre-conference workshops

$199 – Half day pre-conference workshops

$349 – Hands-on training pre-conference workshops

Hotel Information

What is the official hotel for UGM 24?

All UGM 24 events will take place at the Gaylord Opryland Resort & Convention Center, and the client event will take place downtown at Ole Red and Casa Rosa.

How do I make a reservation at the Gaylord Opryland?

Step 1: Register for UGM 24!

Step 2: From your registration confirmation email, click on the “Reservation website” link.

Step 3: Enter your contact information, arrival date, departure date, and any special request information.

Step 4: Enter your credit card information.

Step 5: Verify the accuracy of your reservation request and click on the “Book” button to complete the reservation.

Step 6: Print a copy of your reservation request details for your records.

When will I receive confirmation of my hotel reservation?

You will receive your hotel confirmation via email to the email you provided while booking your reservation with Gaylord Opryland. If you have any questions about your reservation, contact the reservation team at 615-889-1000.

What should I do if I want to room with another UGM 24 attendee?

Each attendee will need to register for UGM 24. Once both attendees have registered, you will need to make one hotel room reservation, listing the first attendee in the contact information section and the second attendee as a guest. If you require split billing for the reservation, contact the Gaylord Opryland Reservation team at 615-889-100, and they will assist in collecting the credit card information for each guest.

How do I make a change to my hotel reservation?

You can contact the Gaylord Opryland at 615-889-1000 and they will assist you in making any changes to your hotel reservation. Make sure to print your new confirmation page after making changes.

Why do I need to use a credit card to reserve the room?

All guests are responsible for their own room, tax, and incidental charges at the hotel. A credit card confirms you assume these responsibilities and guarantees your reservation, so you must submit a credit card number to make a deposit equal to the first night’s room rate plus tax at the time the attendee makes the reservation.

Can I pay via check for my hotel stay?

Checks are not an acceptable form of payment for your hotel stay. Once you arrive at the hotel, you will be asked to present a valid credit card at check-in.

Can I use someone else’s credit card if they are also with my organization?

You must have the credit card that you want to charge with you. For security purposes, if you are not the cardholder, contact the Gaylord Opryland reservation team at 615-889-1000 or email LHejazi@gaylordhotels.com to set up payment prior to your arrival with a credit card authorization form.

Travel

What time should I plan on arriving and departing in Nashville?

Arrive on Sunday, October 27 to join optional pre-conference workshops and the welcome reception at 6pm CT.

Depart on Wednesday, October 30, breakout sessions will end on Wednesday at 12pm CT, we’ll see you next year at UGM 25 back in Nashville!

What is the ground transportation options between the airport and hotels?

Gaylord Opryland is located less than 10 minutes from Nashville International Airport.

 

Uber, Lyfts, and taxi rides average about $25 one-way.

 

Gaylord Opryland offers self-parking and valet parking options for your convenience.

Self-Parking: $37.00 plus tax per night

Valet Parking: $50.00 plus tax per night

What is the recommended attire?

Business casual attire is appropriate for all meeting functions. The temperatures in the meeting rooms are centrally controlled. We recommend bringing a light jacket or sweater.

 

Casual attire and comfortable walking shoes are appropriate for the Client Event.
